About The Role

The Tech & Production Coordinator is responsible for the seamless execution of all technical and production aspects of Primuse events. This includes overseeing pre-event planning, on-site setup, live operations, and post-event breakdown, with a strong focus on precision, safety, and excellence.

This role demands a unique blend of technical expertise, logistical coordination, and calm under pressure to deliver high-quality experiences that reflect the Primuse standard. Working closely with internal teams, vendors, and external partners, the coordinator ensures that every technical and production detail contributes to the overall success of the event—executed efficiently, on time, and within budget.

Pre-Production Planning

  • Conduct site visits to assess venue layout feasibility, technical infrastructure, power requirements, rigging points, gear access, safety hazards, and general conditions.
  • Translate creative and operational visions into actionable technical and production plans.
  • Create and manage detailed production schedules and technical run-of-shows in collaboration with all departments.
  • Liaise with vendors to source, book, and manage all production equipment (sound, lighting, video, staging, rigging).
  • Coordinate equipment sourcing, transportation, setup, and dismantling while ensuring proper functioning, safety compliance, and maintenance.
  • Review and align technical riders with the production plan and event vision.

On-Site Execution & Technical Supervision

  • Supervise and support the setup, live operations, and breakdown of technical equipment according to safety and performance standards.
  • Coordinate on-site crew and freelancers (e.g., AV operators, stage crew, riggers).
  • Manage all technical elements—including audiovisual setups, lighting, staging, and rigging—ensuring alignment with the event’s vision and show flow.
  • Ensure all equipment is tested, installed correctly, and functioning efficiently.
  • Develop and maintain comprehensive technical documentation such as equipment inventories, setup diagrams, and SOPs.
  • Troubleshoot technical issues before the event, during setup, live shows, or breakdown phases while maintaining professionalism.
  • Implement and oversee safety procedures for all production activities and venue-related technical operations.

Logistics & Equipment Management

  • Manage the logistics of gear transportation, storage, and handling across all event phases.
  • Coordinate the equipment flow to meet show requirements and avoid delays or misplacements.
  • Track and ensure proper return of all equipment, reporting and resolving any missing or damaged items.

Cross-Functional Coordination

  • Align production timelines and requirements with Hospitality, Talent, Creative, and Operations departments.
  • Communicate real-time updates on schedule changes and technical developments across all relevant teams.
  • Ensure clear, ongoing collaboration with internal and external stakeholders for smooth execution.

Vendor & Budget Oversight

  • Support budget tracking, production-related P&L (Profit and Loss), and cash flow management. This includes overseeing all financial aspects tied to the technical and production side of events. Responsibilities involve:
    • Tracking all expenses and income related to technical operations (e.g. sound, lighting, staging, rigging, power supply).
    • Ensuring vendor quotes, invoices, and payments are properly documented and aligned with the approved budget.
    • Monitoring equipment rental costs, labor fees (e.g. tech crew, riggers), and logistics such as transport and storage.
    • Assisting in preparing financial reports specific to technical production, highlighting actual vs. forecasted costs.
    • Flagging any overspending or risks early to keep production within financial targets without compromising quality.
    • Maintaining clear and ongoing communication with the Event Director, providing regular updates on financial status, key decisions, and any concerns related to technical production.
    • Negotiate with vendors to secure cost-effective solutions without compromising quality or safety.
    • Establish and maintain strong vendor relationships by continuously meeting and assessing new suppliers, especially in cases of no-shows.
    • Build and update a robust portfolio of reliable vendors for Primuse, ensuring clarity in communication and expectations.

Compliance, Safety & Risk Management

  • Ensure all technical operations comply with legal, safety, and venue regulations.
  • Oversee emergency response procedures and risk mitigation plans for technical incidents.
  • Serve as the liaison for any general affairs between Primuse and external technical or venue representatives.
  • Conduct post-event evaluations focusing on technical challenges, compliance issues, and improvement areas.

Reporting & Post-Event Review

  • Track and reconcile all tech and production costs per event.
  • Collect feedback from crew, vendors, and internal teams for post-event debriefs.
  • Use insights to refine SOPs and elevate the quality of future productions.
  • Continuously evaluate past performance to identify areas for innovation and technical growth.
